How exact does the departure date need to be?
Inside your ninety days and out of the Schengen area — those are the two conditions. Rome to Athens satisfies the first and fails the second, which is the mistake people make when they book something plausible rather than something that leaves.

It is not an extra formality imposed on hotel guests but the same obligation discharged by somebody else — which is exactly why nobody staying in hotels has ever heard of it.
How long is the eight-day window in practice?
Eight days from arrival, which sounds generous and is not, because the offices keep working hours and a great many arrivals happen on a Friday. Anyone renting an apartment for a fortnight should treat it as a task for the first working day rather than the second week.
Do I need it if I own the property?
Ownership does not exempt you from the declaration — it is about being present in private accommodation rather than about who holds the deeds. Second-home owners in Tuscany and Puglia are among the most common people to be unaware of it.
What might the border ask to see?
Accommodation — a booking or the address of the property — plus travel insurance, a return or onward ticket, and evidence of funds at a level that depends on where you are staying. It is the same short list several of its neighbours publish, applied at Fiumicino and Malpensa to arrivals from outside the area.
I hold Italian and British nationality. Which passport?
The Italian one. Dual nationals should use their Italian passport for entering and leaving Italy, and mixing the two documents across a single journey is the kind of inconsistency that creates a record nobody wants to explain later.
What should appear on the reservation?
Your passport name, a dated departure leaving the Schengen area, the airline operating it and a code that resolves. A flight to Paris or Athens is not a departure for that purpose, however far from Rome it feels.

"UPDATE: Coming back to change this from four stars to five. When I first wrote this review three weeks ago I was still waiting for the visa and was nervous about the reservation expiring before the embassy looked at my file. It did not. Visa came through yesterday for all four family members. The reservations were long expired by then but that does not matter because the embassy checks them at the time of submission, not weeks later. So if you are worried about the same thing I was: relax. File it and forget it."
